  • Job & Asset Data: Work orders, asset records, QR scan events, photos, GPS coordinates, checklists, and completion timestamps created during field operations.
  • Device Data: Device type, operating system, browser version, IP address, and crash reports.
  • Usage Data: Features accessed, pages visited, session duration, and interaction events.
  • Location Data: Real-time GPS coordinates when field technicians use the mobile application, used solely for job tracking and evidence capture.

3. How We Use Your Information

We use the information we collect to:

  • Provide, operate, and maintain the FieldOps Pro platform.
  • Generate automated PDF reports and send job notifications.
  • Authenticate users and enforce role-based access control.
  • Analyse platform performance and improve user experience.
  • Respond to support requests, feedback, and legal inquiries.
  • Comply with applicable laws and regulatory requirements.

4. Data Sharing & Disclosure

We do not sell your personal data. We may share your information only in the following circumstances:

  • Within your organisation: Admins and supervisors can view data generated by their teams per their configured access permissions.
  • Service providers: Trusted third-party vendors (cloud hosting, email delivery, crash analytics) who are contractually bound to protect your data.
  • Legal compliance: When required by law, regulation, court order, or to protect the rights and safety of our users.
  • Business transfers: In the event of a merger, acquisition, or asset sale, user data may be transferred with appropriate notice.

5. Data Retention

We retain your data for as long as your account is active or as needed to provide you with the Service. Job records, field evidence, and PDF reports are retained for a minimum of 7 years to support operational compliance requirements, unless your organisation requests earlier deletion under applicable data regulations.

We implement enterprise-grade security measures including AES-256 encryption at rest, TLS 1.3 for data in transit, JWT-based authentication, and role-based access controls. While we strive to protect your data, no method of transmission over the internet is 100% secure.

7. Your Rights (GDPR / DPDPA)

Depending on your jurisdiction, you may have the right to:

  • Access the personal data we hold about you.
  • Request correction of inaccurate data.
  • Request deletion of your data ("right to be forgotten").
